This Privacy Policy applies to the Grain Shift Audio website, account system, Grain Shift Audio Hub, license portal, downloads, license activation services, license refresh services, support services, and related online services.

1. About this Privacy Policy

In this Privacy Policy, “Grain Shift Audio”, “GSA”, “we”, “us”, or “our” means Grain Shift Audio.

“Services” means the Grain Shift Audio website, account system, Grain Shift Audio Hub, license portal, license activation services, license refresh services, download services, support services, and related online services.

“Product” means any Grain Shift Audio software product, plugin, tool, license, update, documentation, runtime component, deployment component, or related service made available by Grain Shift Audio, including the specific product identified at checkout, in your account, in the Hub, or in your license record.

This Privacy Policy covers personal information connected with your use of the Services and Products.

2. Personal information we collect

Account information

Business profile, member, and role information

If you create, manage, join, or are added to a business account, we may collect:

  • business member role, such as Owner, Admin, or Member;

  • business membership status;

  • role-change records;

  • business administrator and owner activity;

  • activation approval and decline records;

  • employee, contractor, team, or seat-user email addresses;

  • seat assignment records;

  • seat deactivation records;

  • transfer-credit records; and

  • business license-management activity.

Purchase and license information

Purchases are processed by FastSpring as Merchant of Record. We may receive or store information connected with your purchase and license, such as:

  • order email address;

  • FastSpring order reference;

  • purchased Product;

  • license tier;

  • licensed platforms;

  • seat count;

  • transfer credits;

  • license status;

  • license issue date;

  • license expiry or renewal information, if applicable;

  • refund, chargeback, dispute, or cancellation status;

  • tax, invoice, or compliance information where relevant; and

  • account-to-license or business-to-license relationship records.

We do not intentionally collect or store full payment card numbers. Payment card processing is handled by FastSpring or its payment providers.

Activation, refresh, deactivation, and transfer information

Some Products or licenses may require activation, refresh, validation, deactivation, transfer management, seat management, or similar checks.

When this happens, we may collect or process:

  • display name;

  • business identifier;

  • business name;

  • business member role;

  • license identifier;

  • seat identifier;

  • Product name;

  • Product version;

  • licensed platform;

  • machine, computer, device, installation, or activation identifier;

  • IP address;

  • activation timestamp;

  • refresh timestamp;

  • deactivation timestamp;

  • transfer-credit status;

  • activation request status;

  • approval or decline status;

  • license validation result;

  • error messages; and

  • related security or diagnostic information.

Where practical, device or machine identifiers may be stored in a hashed, shortened, or otherwise limited form.

  • Product name;

  • license type;

  • operating system;

  • middleware or game-audio workflow details;

  • screenshots;

  • from service providers we use to operate the Services;

  • from business Owners or Admins who add, approve, manage, or remove users under a Business License; and

  • from activation requests created when a person enters a Business License key in the Grain Shift Audio Hub.

4. Why we use personal information

We use personal information to:

  • create and manage accounts;

  • provide access to Products, downloads, license records, and support;

  • issue, activate, validate, refresh, deactivate, transfer, and manage licenses;

  • manage business profiles, members, roles, seats, activation requests, deactivations, and transfer credits;

  • connect purchases with customer accounts or business accounts;

  • provide customer support;

  • investigate errors, compatibility issues, license problems, activation problems, refresh problems, transfer problems, and security issues;

  • detect and prevent fraud, misuse, unauthorised access, chargebacks, license abuse, transfer abuse, or security threats;

  • send important account, license, Product, security, support, and service messages;

  • send marketing or product-update emails where you have opted in;

  • improve Products, documentation, website functionality, and support processes;

  • maintain business, tax, accounting, legal, and compliance records;

  • enforce our Website and Account Terms, Refund Policy, End User License Agreement, and other legal rights; and

  • comply with applicable law.

5. FastSpring checkout

Purchases are processed by FastSpring as Merchant of Record.

FastSpring may collect and process information needed for checkout, payment processing, tax calculation, invoicing, fraud prevention, receipts, refunds, disputes, and payment compliance.

FastSpring’s handling of payment and checkout information is governed by FastSpring’s own terms and privacy notices.

Grain Shift Audio may receive purchase, order, product, license, refund, dispute, tax, and customer-contact information from FastSpring so we can provide Products, licenses, accounts, downloads, support, and related Services.

6. Cookies, analytics, and tracking

The Services may use cookies, local storage, session storage, or similar technologies that are necessary for account login, security, checkout flow, license access, download access, website operation, or remembering basic preferences.

At launch, Grain Shift Audio does not intentionally use advertising trackers, behavioural advertising pixels, or marketing analytics designed to profile users across unrelated websites.

Our service providers may process technical logs and security information as part of hosting, authentication, payment, infrastructure, email, or security services.

If we later introduce non-essential analytics, advertising trackers, or similar marketing technologies, we will update this Privacy Policy and provide any consent or notice required by law.

7. Emails and communications

We may send important service emails about your account, licenses, purchases, downloads, activations, refreshes, deactivations, transfers, business membership, business roles, activation requests, security, support requests, or changes to legal documents.

These service emails are not optional where they are necessary to provide the Services or protect accounts and licenses.

We may send marketing emails, newsletters, release announcements, or promotional updates only where you have opted in or where otherwise permitted by law.

8. Visibility inside business accounts

Business account information may be visible to people in that business according to their role and permissions.

Owners may be able to see and manage business members, roles, activation requests, active and inactive seats, seat holder details, machine details, seat status, business-owned licenses, purchased platform add-ons, transfer credits, and business settings.

Admins may be able to see business members, roles, activation requests, active and inactive seats, seat holder details, machine details, seat status, business-owned licenses, purchased platform add-ons, and transfer credits where needed for day-to-day license management, but with role-based restrictions.

Members can only see their own approved seat and related information, such as the business name, their seat status, their machine, the Product, available platforms, and refresh status.

When you use a Business License key in the Hub to request activation, your account name, account email, machine name, Product, requested license, request date, and request status may be shown to the business Owners and Admins so they can approve or decline the request.

If your request is approved and you are not already part of the business, your account may be added to the business as a Member.

9. When we share personal information

We may share personal information with service providers who help us operate the Services, including:

  • FastSpring, for checkout, payment processing, tax, invoicing, fraud prevention, refunds, and payment support;

  • Supabase, for authentication, account records, business records, member records, license records, activation records, and related database services;

  • Cloudflare, for DNS, hosting, Workers, security, download delivery, and infrastructure services;

  • Framer, for website hosting and website delivery; and

  • Google Workspace, for business email, support communication, and related productivity services.

We may also share personal information:

  • with business Owners and Admins, where information relates to business membership, roles, activation requests, seats, licenses, transfer credits, or license management;

  • with Members, where information relates to their own approved seat;

  • where needed to provide support or investigate a license, account, payment, security, activation, refresh, transfer, or technical issue;

  • where required by law, court order, regulator, tax authority, payment provider, or other lawful request;

  • where needed to detect, prevent, or respond to fraud, security threats, chargebacks, license misuse, transfer misuse, or unlawful activity;

  • where needed to enforce our Website and Account Terms, Refund Policy, End User License Agreement, or other legal rights;

  • with professional advisers such as accountants, lawyers, or security consultants;

  • in connection with a business sale, merger, restructuring, or transfer of relevant business assets; or

  • with your consent.

We do not sell personal information to advertisers.

10. Overseas storage and processing

Grain Shift Audio is based in New Zealand, but some of our service providers may store or process personal information outside New Zealand.

This may include countries where FastSpring, Supabase, Cloudflare, Framer, Google Workspace, or their service providers operate data centres, support teams, infrastructure, or business systems.

When we use overseas service providers, we take reasonable steps to use reputable providers and appropriate safeguards for the personal information they process.

By using the Services, you understand that your personal information may be processed in New Zealand and overseas.

11. Security

We take reasonable steps to protect personal information from loss, unauthorised access, misuse, disclosure, alteration, and destruction.

These steps may include access controls, authentication, encrypted connections, limited staff access, provider security controls, logging, backups, and security monitoring.

No online service, storage system, or transmission method is completely secure. You are responsible for keeping your account login details secure and for contacting us promptly if you believe your account has been accessed without permission.

Some records may need to be kept for as long as your account, license, seat, business membership, or business license remains active, and some business, tax, payment, or legal records may need to be retained after an account is closed.

You may contact us to ask for access to, correction of, or deletion of your personal information.

We may refuse or limit a request where permitted by law, including where information must be retained for legal, tax, accounting, security, fraud prevention, dispute, support, backup, or license-enforcement reasons.

If your information is connected with a business account, we may also need to consider the rights and responsibilities of the relevant business, Owners, Admins, Members, and license users.

Deleting personal information may affect your ability to access accounts, downloads, license records, activation services, refresh services, support history, business profiles, business memberships, roles, seats, or Products.

14. Children and users under 18

The Services are not directed at children.

You must be at least 18 years old to create an account, make a purchase, manage licenses, activate licenses, or accept legal terms on your own behalf.

If you are under 18, you may use the website or Products only with the permission and supervision of a parent or legal guardian, and that parent or guardian is responsible for your use.

If we become aware that we have collected personal information from a child in a way that requires parental or guardian consent and that consent has not been provided, we may close the account and delete or restrict the relevant information where appropriate.

The Services may link to third-party websites or services, including FastSpring checkout, middleware providers, documentation, download locations, community resources, or support resources.
